In the case of inclement weather (severe winds, rain, etc), the race director reserves the right to postpone race start, reduce race length or cancel the race for the safety of all participants. Race director shall consult with USAT official regarding this decision.
If it is determined that weather causes a safety risk to participants, the race director shall first opt to postpone the start of the race. If after one hour, the weather is not clear, the race director may opt to reduce the course length proportionately for each leg* of the course and shall notify via the communication tree all volunteers and law enforcement officers. If 2 hours pass and weather conditions have not resolved, the race director may opt to cancel the race to protect all participants, volunteers & staff.
In any case, the race shall not proceed until all athletes and race staff have been informed of the race changes.
Options to be considered:
A: Postpone start time until weather permits.
B: Eliminate swim portion and use 1 mile run out and back on designated run course in wave starts and follow the bike with only a 1.25 mile out and bike run so total run distance is still 2.25 miles.
C: Shorten bike to smaller loop if need be.
D: Consider other routes (for ex, route on power line trails, or through adjacent neighborhoods depending on reason for alternate plan needed).
E: Change the date (would need to negotiate with volunteers, LE, permitting agencies, etc)
F: Cancel race.
HEROS, Inc. has a no refund policy. However we do offer a prtial discount for races that are not sold out. Up to 30 days prior to an event that is not sold out, 50% of registration fees will be credited to the participant to be used towards another HEROS event in the next 12 months. Closer than 30 days to race day, no discounts are offered. If a race is sold out, no discounts or refunds are offered. HEROS incurs many expenses regardless of whether or not the race transpires and will work to arrange some credit based on analysis of the budget and funds available to athletes in the event weather requires a race to be cancelled.
